Ethiopian Coffee RFQ Checklist for Buyers

Request Samples & Pricing

Have questions about ethiopian coffee rfq checklist for buyers? Samples available on request — share your brief without reading the full page first.

A clear RFQ gets a clearer quote. Use this checklist when emailing info@pyrabrew.com or submitting our sample request form — so PyraBrew can match origin, process and timing without back-and-forth. FOB prices remain on application; we do not publish $/kg lists.

What Is an Ethiopian Coffee RFQ?

An RFQ (request for quotation) for Ethiopian green coffee is a buyer brief that states who you are, which origins and processes you want, the grade and volume interest, Incoterms and destination, timing, and whether you need pre-shipment samples. With those details, an exporter can confirm availability and issue prices on application — without guessing your market or packing needs.

In Simple Terms

Tell us who you are, what you want to cup or buy, where it should land, and when you need it. Incomplete briefs slow quotes; a short checklist like this usually gets a same-day or next-day commercial reply.

Include These Details in Your RFQ

  • Company name, country, and a named contact with email and phone
  • Buyer type (specialty roaster, importer, private-label brand, hospitality) and approximate annual green-coffee volume interest — ranges are fine
  • Preferred Ethiopian origins (Yirgacheffe, Guji, Sidamo, Limu, Jimma) and whether you are open to alternatives
  • Processing preference: washed, natural, honey, or a mix for cupping comparison
  • Target grade (Grade 1 / Grade 2) and any SCA cupping-score floor you use commercially
  • Intended Incoterms (FOB Djibouti is our default export basis; CIF available on request) and destination port or warehouse
  • Desired delivery window or harvest season (for example Q1 / main crop availability)
  • Whether you need pre-shipment samples before contracting — samples available on request for qualified commercial buyers

Documents and Specs Worth Asking For

You do not need every document on day one, but naming what you will need for customs and quality control helps us prepare the right pack. Typical commercial asks:

  • Lot identification and processing-station or cooperative context
  • ECX / Ethiopian grading classification for the offered lots
  • Recent cupping notes or score range when available
  • Packaging (GrainPro-lined jute is our standard export pack) and bag weight
  • Export documentation checklist: ICO, phytosanitary, quality/weight certificates, bill of lading
  • EUDR / traceability evidence pack if your market requires it

What a Strong Reply Looks Like

  • A clear reply acknowledging your brief — PyraBrew aims to respond within 24 hours on business days
  • Confirmation of which origins and processes can be offered against your brief (availability changes by harvest)
  • Prices on application only — expect a quote tailored to origin, grade, process, volume and Incoterms, not a public price list
  • Sample plan if requested: what will be sent, how it ships, and next steps after you cup
  • Any clarifying questions on destination compliance, payment terms or contract structure
